Personal Information Collection Notice

Parallel Digital operates a software-as-a-service platform used by organisations and their Authorised Users to manage business workflows and related digital services.

This Notice is given under APP 5 and explains how Parallel Digital collects Personal Information when individuals interact with its Platform.

This Notice should be read together with Parallel Digital's Privacy Policy, available at www.paralleldigital.io, which contains further information about how Parallel Digital collects, holds, uses and discloses Personal Information.

1. Application and acknowledgement

1.1This Notice applies to Personal Information Parallel Digital collects from an Individual through or in connection with the Platform.

1.2By providing Personal Information to Parallel Digital, or by continuing to use the Platform after this Notice is made available to the Individual, the Individual acknowledges having read this Notice.

2. What Personal Information we collect

2.1The kinds of Personal Information Parallel Digital collects depend on how an Individual uses the Platform. Parallel Digital may collect:

(a)identity and contact details, such as name, business email address, telephone number, job title and organisation name;

(b)account and profile information, such as login credentials, user preferences, role assignments and account settings;

(c)usage and technical information, such as IP address, device identifiers, browser type, operating system, log files, session data, feature usage, error reports and performance metrics;

(d)support and communications information, such as the content of enquiries, support tickets, feedback and correspondence with Parallel Digital; and

(e)billing and transaction information, where applicable, such as payment contact details, billing address and records of subscriptions or purchases.

2.2Parallel Digital does not generally seek to collect Sensitive Information directly from Individuals for account administration purposes. However, where a Business Customer uses Platform modules relating to health, safety, environment, incident, certification or competency management, the Customer Data processed through those modules may include Sensitive Information (including health information) about Authorised Users or third parties. Parallel Digital processes any such Sensitive Information solely as a service provider, on the instructions of and at the direction of the Business Customer, for the purpose of providing the Services. The Business Customer is responsible for ensuring it has obtained any consent required under the Privacy Act before Sensitive Information is submitted to or processed through the Platform.

2.3If an Individual does not provide requested Personal Information, Parallel Digital may be unable to create or maintain an account, provide Platform functionality, respond to enquiries, process transactions or otherwise provide some or all of the services requested.

3. How we collect Personal Information

3.1Parallel Digital collects Personal Information:

(a)directly from an Individual when the Individual registers for an account, completes forms, configures settings, communicates with Parallel Digital or otherwise interacts with the Platform;

(b)automatically when an Individual accesses or uses the Platform, including through cookies, analytics tools, application logs and similar technologies; and

(c)from third parties where permitted by law, such as the Individual's organisation (if it provides user details for account provisioning), payment processors, identity providers or integration partners connected to the Platform.

4. Anonymity and pseudonymity

4.1Where it is lawful and practicable to do so, an Individual may interact with Parallel Digital anonymously or using a pseudonym. However, because the Platform requires user authentication and account-based access to provide the Services, it is generally not practicable for Parallel Digital to provide an Individual with access to or use of the Platform anonymously or under a pseudonym.

5. Why we collect, use and disclose Personal Information

5.1Parallel Digital collects Personal Information for purposes connected with operating, improving and securing the Platform, including to:

(a)provide, administer, maintain and support the Platform and related services;

(b)authenticate users, manage accounts and enforce access controls;

(c)process transactions, subscriptions and billing where applicable;

(d)communicate with Individuals about the Platform, service updates, security alerts and support requests;

(e)monitor, analyse and improve Platform performance, reliability and user experience;

(f)detect, investigate and prevent fraud, abuse, security incidents and unlawful activity;

(g)comply with legal obligations, respond to lawful requests and establish, exercise or defend legal rights; and

(h)conduct internal reporting, quality assurance, training and business administration.

5.2Parallel Digital may disclose Personal Information to:

(a)employees, contractors and professional advisers who need access to perform their roles and who are bound by confidentiality obligations;

(b)hosting, cloud infrastructure, analytics, communications, payment, identity and other service providers that assist Parallel Digital to operate the Platform;

(c)the Individual's organisation, where the Individual's account is provisioned or managed by that organisation;

(d)regulators, courts and other parties where required or authorised by law; and

(e)a successor entity, if Parallel Digital undergoes a restructure, merger, acquisition or asset sale, subject to Applicable Law.

5.3Parallel Digital does not sell Personal Information.

6. Overseas disclosure

6.1Unless Parallel Digital notifies an Individual otherwise at the time of collection, Parallel Digital may disclose Personal Information to overseas recipients, including service providers and technology vendors located outside Australia, such as in the United States, the European Union and the United Kingdom.

6.2If Parallel Digital discloses Personal Information to an overseas recipient, it takes reasonable steps to ensure the recipient does not breach the APPs in relation to that information, unless an exception under APP 8.2 of the Privacy Act applies or the Individual consents to the disclosure.

7. Storage, retention and security

7.1Parallel Digital stores Personal Information using reasonable technical and organisational measures designed to protect it from misuse, interference, loss and unauthorised access, modification or disclosure.

7.2These measures may include access controls, encryption in transit, logging and monitoring, secure development practices and staff training.

7.3Parallel Digital retains Personal Information for as long as reasonably necessary to fulfil the purposes described in this Notice, unless a longer retention period is required or permitted by law. When Personal Information is no longer required, Parallel Digital takes reasonable steps to destroy or de-identify it.

8. Access, correction and complaints

8.1Subject to Applicable Law, an Individual may:

(a)request access to Personal Information Parallel Digital holds about the Individual;

(b)request correction of Personal Information that is inaccurate, out of date, incomplete, irrelevant or misleading; and

(c)make a complaint about Parallel Digital's handling of the Individual's Personal Information.

8.2To make a request or complaint, an Individual should contact Parallel Digital’s Privacy Officer by:

8.3Parallel Digital will respond within a reasonable period and in accordance with Applicable Law.

8.4If an Individual is not satisfied with Parallel Digital's response, the Individual may complain to the Office of the Australian Information Commissioner at www.oaic.gov.au.

9. Definitions

9.1In this Notice, unless the context requires otherwise:

APPs means the Australian Privacy Principles set out in Schedule 1 of the Privacy Act.

Applicable Law means all laws, regulations and legally binding requirements applicable to Parallel Digital's handling of Personal Information in connection with the Platform, including the Privacy Act

Authorised User means an individual who is authorised by an organisation to access and use the Platform on that organisation's behalf.

Individual means an Authorised User to whom this Notice is directed.

Notice means this Personal Information Collection Notice.

Parallel Digital means Parallel Digital Pty Ltd ABN 93 666 448 899.

Personal Information has the meaning given in the Privacy Act.

Platform means Parallel Digital's software-as-a-service platform, website and related online services.

Privacy Act means the Privacy Act 1988 (Cth).

Sensitive Information has the meaning given in the Privacy Act.

10. Updates to this Notice

10.1Parallel Digital may update this Notice from time to time to reflect changes in its practices, technology, legal requirements or the Platform.

10.2The current version will be made available on the Platform or at www.paralleldigital.io. Individuals are encouraged to review this Notice periodically.
